Studio Manager

What you’ll do:

As the Studio Manager, your role will be multifaceted. It will include support across all administrative matters for the company including general operations, HR, finance, office management, communications & new business. This is an exciting and dynamic role, and we are looking for an energetic, organised and highly motivated individual to join the team. Good communication skills, highly organised and a hands-on approach are essential, as well as a good understanding of finance and accounting. You will be the glue that helps stick, build and hold the House up; a force that will help the business and its team members thrive and waddle onward. 

General House-Keeping

  • Act as the first point of contact for the studio to all visitors, clients and deliveries
  • Team life & offsites organisation
  • Travel/accommodation bookings
  • Facilities management
  • Procurement of any supplies needed
  • Ad Hoc admin support to the directors (i.e., business outreach assistance, coordination of vendor / supplier meetings, etc.)
  • Other ad-hoc tasks to contribute to the day to day running of the agency
  • Support all new business activities 

Finance & Accounting

  • Projects’ accounting by working closely with the production and account teams to check and track – ensuring the following are completed in a timely manner and are accurate: 
    • budget estimate send-outs
    • execution of a SoW
    • invoicing and tracking of payments (AR & AP) as per terms of payment schedule with both clients and vendors  / suppliers
    • budget reconciliation
  • Complete and track client, staff and project expenses, freelancer invoices and other financial tasks such as payment and management of the company bills & subscriptions
  • Bank reconciliation
  • Liaise with the accountant on all points necessary (payroll, VAT returns, HRMC inquiries)

Human Resources

  • Assist the directors with human resourcing including staff recruitment and leavers, inductions for new staff, managing personnel records, annual leave, absence and annual reviews
  • Being the friendly and welcoming face of the agency and ensuring our visitors have the best experience possible
  • HR administration: contracts, paperwork, newbies’ onboarding
  • Company subscriptions maintenance
  • Employee holiday schedule
  • Payroll

Required skills:

  • Excellent organisational and time management skills – able to work independently with a proactive attitude
  • Excellent communication skills 
  • Basic financial literacy with an ability to manage budgets (experience with Xero or FreeAgent is desirable)
  • Dynamic, fast working, with good common sense, ability to take initiatives and attention to detail
  • Fast and accurate with computers (Google Suite advanced knowledge) 
  • Proficient experience with Excel or Google Sheets is preferred
  • Basic accounting knowledge

Qualifications:

  • Experience in a similar role required
  • Preferably educated to bachelor's degree level but not compulsory
